Module 1: Get Your Week Under ControlLesson 2 of 5

The Brain Dump: Turning Chaos Into a Plan

Get every to-do out of your head in ten minutes, then let ChatGPT sort it into a week you can actually live with.

In this lesson

What You'll Learn

Why It Matters

Most of the stress you feel is not the work itself. It is the effort of remembering the work: the permission slip, the gallery entry form, the dentist call, the canvas order. Your brain keeps replaying that list all day, and it leaves no room for painting.

A brain dump moves the list out of your head and onto the screen. ChatGPT is very good at the next part, which is sorting a long, jumbled list and turning it into steps. You make the decisions. ChatGPT does the organizing.

Step 1

Empty Your Head Onto the Page

Set a timer for ten minutes. Open a new chat in ChatGPT, or grab a notepad if you think better on paper. Now write down everything that is on your mind. Do not sort it. Do not worry about spelling. Just keep going until the timer runs out.

If you get stuck, walk through these areas one at a time:

  • Kids: school forms, practices, rides, birthday gifts, projects
  • House: repairs, laundry, bills, appointments, groceries
  • Art: paintings to finish, supplies to order, shows and deadlines
  • Business: emails to answer, posts to make, buyers to follow up with
  • You: the doctor visit you keep putting off, a friend to call back

A messy list is a good list. Twenty-five to forty items is normal for a busy week.

Wrote it on paper? You can type it into ChatGPT, or take a photo of the page and upload it with the + button. ChatGPT can read clear handwriting.

Start Your Brain Dump

Paste this into a new chat, then add your list where it says to. Keep the list messy. ChatGPT will sort it later.

Step 1: Fill in the blanks
Step 2: Check your finished prompt
Hi, I'm [Your first name]. I'm a working artist ([Your medium, like acrylics or watercolor]) with a busy family. I'm about to do a brain dump. I'll paste a messy list of everything on my mind. Please don't sort it yet. Just read it, count the items, and ask me if anything looks unclear or looks like two tasks stuck together. Here is my list: [Paste your messy list here]
Step 3: Copy it and paste it into ChatGPT
Open ChatGPT (opens in a new tab)

Your answers are saved on this device only, so you do not have to retype them in later lessons.

Step 2

Sort It Into Three Piles

Now ChatGPT sorts your list. Every item lands in one of three piles. You get the final say on every one.

Must Do

Only you can do it, and it has a real deadline or a real cost if it slips. Keep this pile short.

Can Hand Off

Someone else could do it: a partner, an older child, a carpool parent, a store's delivery service, or ChatGPT itself.

Can Drop

It would be nice, but nothing bad happens if it waits a month or never happens. Letting these go is a skill.

ChatGPT will guess which pile each item belongs in. Read its guesses with a critical eye. It does not know that your mother-in-law is visiting Thursday or that the gallery owner prefers a phone call. Move items around until the piles feel right to you.

Sort My List

Use this in the same chat, right after your brain dump.

Step 1: Fill in the blanks
Step 2: Check your finished prompt
Please sort my brain dump into three groups: 1. MUST DO: only I can do it and it has a real deadline 2. CAN HAND OFF: someone else could do it. Suggest who, from this list of helpers: [People who can help, like my husband or my 14-year-old] 3. CAN DROP: nice to do, but nothing bad happens if it waits For each Must Do item, add the deadline if I mentioned one. Keep each item to one short line. At the end, tell me how many items are in each group.
Step 3: Copy it and paste it into ChatGPT
Open ChatGPT (opens in a new tab)

Help Me Let Go

Use this if your Must Do pile is still too long.

Step 1: Fill in the blanks
Step 2: Check your finished prompt
My Must Do list still has too many items for one week. I have about [Hours you can really spare this week] hours of free time this week. Look at my Must Do list and suggest which items could move to next week or be done in a simpler way. Explain your reasoning in one sentence for each suggestion. I'll make the final call.
Step 3: Copy it and paste it into ChatGPT

Step 3

Turn the Piles Into a Real Plan

A sorted list is helpful. A plan that fits your actual days is what changes your week.

Tell ChatGPT About Your Days

ChatGPT can only plan around what it knows. Before you ask for a plan, give it the shape of your week: work hours, school drop-off and pick-up, practices, church, and when you are simply too tired to do anything useful.

If you built your family calendar in the last lesson, you can copy this week’s events and paste them in.

What a Good Plan Looks Like

If the plan ChatGPT gives you feels too full, say so. Ask it to lighten the busiest day or move something to next week. A plan you can follow beats a perfect plan every time.

Build My Week

Fill in your schedule, then paste this into the same chat.

Step 1: Fill in the blanks
Step 2: Check your finished prompt
Now please turn my sorted list into a day-by-day plan for this week. Here is what my week already looks like: [Your week, like work 8 to 3, band Tuesday 5 to 7] My busiest days are [Your busiest days]. My best energy is in the [Morning, afternoon, or evening]. Rules: - No more than 3 Must Do items on my busiest days - Put at least [How many painting sessions you want] painting sessions on the plan, even short ones - List each hand-off item with who it goes to - Leave some open time each day Show the plan as a simple list by day.

Write My Hand-Off Messages

Use this to ask for help without the awkward part.

For each item in my Can Hand Off group, write a short, friendly text message I can send to the person who will take it over. Keep each message under 40 words, warm, and clear about what I need and by when. Label each message with the person's name.

Make it a habit

The Five-Minute Reset

You do not need a full brain dump every day. Once your plan is in place, a quick reset keeps it working.

Any time you feel the list building up in your head again, open the same chat from this lesson and type what has changed. A new school form, a cancelled practice, a commission request. ChatGPT remembers the plan from earlier in that chat and can adjust it.

Tip: rename the chat so you can find it again. Hover over the chat in the sidebar (or press and hold it on your phone), choose Rename, and call it something like Weekly Plan. In Module 2 you will move this into a ChatGPT Project so everything stays together.

Quick Reset

Use this in the same chat whenever your week changes.

Step 1: Fill in the blanks
Step 2: Check your finished prompt
Quick update on my week. Here's what changed: [What changed, like practice moved to Friday or a new buyer email] Please update my plan for the rest of the week. Keep my painting time if you can. Tell me what moved and what, if anything, should drop.
Step 3: Copy it and paste it into ChatGPT

What You Should See

After the Build My Week prompt, your answer should look something like this. Yours will have your own tasks and days.

Monday
Must Do: Sign the field trip form. Email the gallery your two entry photos.
Painting: 30 minutes after pick-up.
Hand off: Mike picks up the dry cleaning.

Tuesday (busy day)
Must Do: Band until 7.
Open time: Leave the evening free.

If yours looks close to this, you are done with the hard part.

Quick fixes

If Something Looks Different

  • ChatGPT sorted everything as Must Do. Reply: Be tougher. Only keep items with a real deadline in Must Do.
  • The plan is too packed. Reply: This is too much for my busy days. Move two things to next week.
  • It forgot a practice or appointment. Tell it what is missing. It will rebuild the plan.
  • You lost the chat. Click Search chats in the sidebar and search a word from your list, like permission slip.
  • The photo of your list didn’t read well. Retake it in good light, flat and straight on, or type the list instead.

Do One Brain Dump This Week

Pick a quiet ten minutes, maybe while the coffee brews. Empty your head, sort the list, and build this week’s plan. Then rename the chat Weekly Plan so you can find it for your next reset.
